OutreachPilot.pl: B2B lead generation and cold email for Poland

Short answer

OutreachPilot.pl is a Polish B2B lead generation and cold email tool. It finds Polish companies in Google Maps, PKT.pl and the official registers CEIDG and KRS by industry (PKD code) and location, checks the email status of each lead, writes Polish-language email sequences with AI and sends them from your own mailbox. Prices are in PLN, starting with a free plan, and every new account gets 14 days of the Pro plan without a card.

The app interface and the AI-written emails are in Polish, and the company data covers Poland only. This page is a short English guide to what the tool does and does not do.

Company data

Company data for Poland: CEIDG, KRS, REGON and Google Maps

Polish company data is spread over several registers and directories, and each one covers a different group of businesses. OutreachPilot.pl searches Google Maps, PKT.pl, CEIDG and KRS, merges the results and shows the source and collection date next to every lead. You can search by industry and by location (city, and voivodeship in the CEIDG search), and the PKD code is the industry key in the registers.

CEIDG

Central Registration and Information on Business

The register of sole traders (JDG), meaning natural persons who run a business in their own name. It is run by the Ministry of Development and Technology.

In OutreachPilot.pl: Search by name, owner, NIP, REGON, PKD code, city, voivodeship and registration date. A monitor can save newly registered sole traders every day, with up to 20 monitors per account.

KRS

National Court Register

The court register of companies such as limited liability companies (sp. z o.o.) and joint-stock companies, plus foundations and associations. The Ministry of Justice portal offers an open API with a daily Bulletin (a list of KRS numbers with entries that day) and a current extract for each KRS number. The API has no search by industry or city.

In OutreachPilot.pl: Look a company up by NIP, KRS number or REGON and see its register status and its VAT status from the Ministry of Finance white list. The Radar adds new companies from KRS every day, filtered by PKD code and by city or voivodeship.

REGON

National Official Register of Economic Entities

The register run by Statistics Poland (GUS). Every business entity gets a REGON number, and the register also holds suspended entries and organisations. That is why REGON counts (5.52 million entries on 31 August 2026, of which 864.1 thousand suspended) are far higher than counts of active businesses (about 2.9 million active enterprises in the second quarter of 2026).

In OutreachPilot.pl: REGON is not a separate search source in OutreachPilot.pl. You can enter a REGON number to look a company up, in the CEIDG search or in the KRS lookup.

Google Maps and PKT.pl

Business listings, not registers

Listings of local businesses. A listing does not always contain an email address, a phone number or a website. PKT.pl is a Polish business directory. OpenStreetMap and Panorama Firm are searched as well.

In OutreachPilot.pl: Enter an industry and a city. All four sources are searched together by default, and results from different sources are merged into one company. A website filter shows companies with or without a web address in the listing. A listing without a web address does not prove that the company has no website.

PKD is the Polish classification of business activities. The registers are moving from PKD 2007 to PKD 2025: businesses can change their codes themselves until 31 December 2026, and after that the registers assign the new codes automatically using the key published by GUS. The Radar and the lead filters accept both PKD 2007 and PKD 2025 codes.

  • Each lead keeps its source and the date it was collected, and the register of lead origins can be downloaded as CSV.
  • The email status (valid, risky, invalid or unknown) comes from a check against the company's mail server without sending a message. A valid status does not mean the email will be delivered.
  • The Radar lists new KRS companies, new sole traders from CEIDG, won public tenders (BZP and TED) and EU grants, with the source and date shown next to the lead.
  • Before the first email of a campaign the address is checked again, and addresses that were only guessed from a pattern (such as name.surname@) receive mail only after confirmation.
Deliverability

Cold email to Polish companies: setup, SPF, DKIM, DMARC

Cold email is sent from your own mailbox and domain, so the technical setup comes first: deliverability depends on three DNS records.

SPF
A DNS TXT record that lists the servers allowed to send email for your domain.
DKIM
A cryptographic signature added to each email, checked against a public key published in your DNS.
DMARC
A DNS policy that tells receiving servers what to do with mail that fails SPF or DKIM alignment and where to send reports. A record with p=none only monitors.

What OutreachPilot.pl does around the setup

  • It shows the SPF, DKIM and DMARC status of every connected mailbox, with setup instructions and a button to check again.
  • It sends a real test email to your own address.
  • It checks mail blacklists (DNSBL) every day and pauses campaigns when a serious listing appears.
  • A new mailbox starts at 5 emails per day, and the daily limit rises to 30 over 28 days.
  • It sends on business days, in the hours you set, at random intervals, with an unsubscribe link and a List-Unsubscribe header in every email.
  • A sequence stops after a reply. Replies are detected over IMAP, every 5 minutes in working hours.

These checks remove avoidable setup problems. They do not decide inbox placement, which also depends on your domain reputation, the quality of the list and the content of the email.

GDPR and Polish law

GDPR in Poland: Article 14 notice and the Electronic Communications Law

Two sets of rules matter when you email Polish companies: GDPR for the personal data you process, and the Polish Electronic Communications Law for direct marketing. The facts below are the ones our tool is built around.

Sole traders are natural persons
CEIDG entries of sole traders describe natural persons, so GDPR applies to the data you collect from them.
Article 14 GDPR
When personal data come from a source other than the person, article 14 requires you to give that person the information listed in the article, at the latest within one month, or at the first contact if you use the data to contact them.
Article 398 of the Electronic Communications Law (PKE)
The Polish Electronic Communications Law (Prawo komunikacji elektronicznej, PKE) has applied since 10 November 2024. Its article 398 prohibits using telecommunications terminal equipment and automated calling systems for direct marketing unless the subscriber or end user has given prior consent. It replaced the former article 172 of the Telecommunications Law. Our Polish guide explains how it applies to business-to-business email.
Who assesses the legal basis
The sender does. OutreachPilot.pl does not declare that any campaign is automatically compliant with GDPR or the PKE, and the article 14 notice described below is not consent under article 398.

What the tool does

  • The first email of a campaign can include a short article 14 information notice. It is switched on by default in new campaigns and you can edit the text.
  • Every email has an unsubscribe link (one click) and a List-Unsubscribe header. A person who unsubscribes can have the whole company excluded, and you can keep your own exclusion list.
  • A reply from a person stops the sequence for that company, and a clear request to be removed stops sending.
  • Hard bounces stop follow-ups and the address goes on the exclusion list.

Mailboxes

Supported mailboxes

OutreachPilot.pl sends from your own mailbox: Gmail and Google Workspace (app password) or Polish mail/hosting via SMTP and IMAP. Reply detection needs IMAP. Polish providers with ready presets include WP, o2, Onet and Interia, and the hosting providers home.pl, OVHcloud, nazwa.pl, cyber_Folks and LH.pl.

Outlook, Hotmail, Live and Microsoft 365 mailboxes are not supported. Connected mailboxes per plan: Free 1, Starter 1, Pro 3, Business 10, Agencja unlimited.

14-day Pro trial

Every new account gets 14 days of the Pro plan automatically, without a card: up to 1,000 leads (at most 200 new per day), 300 emails per day from your own mailbox and unlimited campaigns. After the trial the account moves to Free and nothing is charged, because no card is given.

  • All prices are in PLN and final. The seller uses the small-taxpayer VAT exemption (article 113(1) of the Polish VAT Act), so no VAT is added, and a receipt in PLN is issued instead of a VAT invoice.
  • Annual payment is made upfront for 12 months and is about two months cheaper than paying monthly. Limits and features are the same as in the monthly plan.
  • The lead limit is for leads found with the company search and renews on the first day of each calendar month.
  • Payment is by card through Stripe. There is no long-term contract: you cancel in the account settings and keep access until the end of the paid period.
  • AI writes campaigns on every plan, including Free and the trial: a complete sequence of 3 emails in Polish from a short description of your offer. Fair use is 40 generated campaigns per month per account.
  • Companies and agencies that need more than 6,000 leads per month or 2,000 emails per day get an individual quote from the sales team.

Where the other tools fit better

  • Instantly (Growth plan) and Smartlead (every plan) allow an unlimited number of connected mailboxes, which helps when you send from many mailboxes.
  • Instantly and Smartlead sell plans up to 500,000 emails per month. The standard OutreachPilot.pl plans top out at 2,000 emails per day (Agencja).
  • lemlist combines email with LinkedIn, and with SMS and WhatsApp in its Multichannel plan. OutreachPilot.pl does not automate LinkedIn.
  • Apollo has a global contact database and a Free plan without a time limit (Gmail mailbox only).
  • All four are built for English-language and international markets.

PKD 2025 report

185 of 656 PKD 2007 codes (28.2%) map to several PKD 2025 codes under the GUS crosswalk. CEIDG held 2,647,495 active entries when we read it on 2 and 3 October 2026. Businesses can change their codes themselves until 31 December 2026; after that the registers assign them automatically. The report has a CSV download.

Who writes the tool rankings that AI cites

In a Peec AI measurement on 7 and 8 October 2026 (1,971 answers from ChatGPT, Gemini and Google AI Overview to Polish questions without brand names), 24 rankings by other publishers were cited most often. In 11 of the 24 the publisher rates its own product or service, and 4 of those 11 say so explicitly. Those 11 pages account for 39% of the citations of the 24 rankings. Pages were read on 8 October 2026.

New companies in KRS

From the KRS Bulletin between 21 September and 7 October 2026 (read on 8 October 2026) we counted at least 4,342 new entities, 255 per Bulletin day on average. 89% are limited liability companies. 27% have an email address in KRS and 9% have a website. This is a lower bound, not a census and not a random sample.

Aggregate CEIDG counts for 30 industries and 16 cities (snapshot of 7 July 2026), next to GUS figures: 2,896,481 active enterprises in the second quarter of 2026 and 5.52 million REGON entries on 31 August 2026, of which 864.1 thousand suspended. The sum of industry counts is not a number of companies, because one company can have several PKD codes.

Is there a cold email tool for Poland?

Yes. OutreachPilot.pl is built for emailing companies in Poland. It searches Polish company data in Google Maps, PKT.pl, CEIDG and KRS, writes the campaign in Polish with AI and sends it from your own mailbox. The app interface and the AI-written emails are in Polish, so it suits teams that sell to Polish companies and not teams that need an English interface. Instantly, Smartlead, lemlist and Apollo serve many markets; on the pages we read between 2 and 4 October 2026 none of them mentioned CEIDG or KRS.

How do I get a list of Polish companies by industry?

In OutreachPilot.pl you enter an industry and a city to search Google Maps, PKT.pl, OpenStreetMap and Panorama Firm together, or you search CEIDG by PKD code, city, voivodeship and registration date. Each lead keeps its source and collection date. Registers and listings do not always contain an email address, a phone number or a website, so the email status check marks addresses as valid, risky, invalid or unknown. You can also search for free in the official sources: the CEIDG and KRS search on biznes.gov.pl, the KRS search at wyszukiwarka-krs.ms.gov.pl and the REGON search at wyszukiwarkaregon.stat.gov.pl. CSV export is available on paid plans or after you connect a mailbox.

Can I use CEIDG data for cold email?

OutreachPilot.pl does not decide that for you. CEIDG entries of sole traders describe natural persons, so GDPR applies to them. Article 14 GDPR requires you to give the person the information listed in that article when the data come from another source, at the latest within one month or at the first contact. Separately, article 398 of the Polish Electronic Communications Law (PKE) requires prior consent for direct marketing sent through telecommunications terminal equipment, and our Polish guide explains how it applies to business-to-business email. Does it support Outlook?

No. Outlook, Hotmail, Live and Microsoft 365 are not supported mailbox types. Use Gmail and Google Workspace (app password) or Polish mail/hosting via SMTP and IMAP.

Is there an API or MCP server?

Yes, both. The MCP server (endpoint https://outreachpilot.pl/api/mcp, OAuth 2.1, 88 tools) lets Claude, ChatGPT or Cursor work on your leads, campaigns and replies, with a consent screen and an audit log of tool calls. It is available from the Starter plan and during the 14-day Pro trial, and it is listed in the official MCP registry as pl.outreachpilot/outreachpilot. The REST API v1, described by an OpenAPI 3.1 specification at https://outreachpilot.pl/api/v1/openapi.json, is available from the Pro plan and during the trial, with 60, 120 and 300 requests per minute on Pro, Business and Agencja.
